Start with the statement actually broadcast

A controversy may involve a title, an image, packaging or an oral statement. You should maintain the relevant version and its context before preparing a response. The company's internal reasoning is not necessarily what the public understood. Strong evidence on a specific point may not support the much more general formulation that has been published.

We recommend treating three elements together: the sentence or visual, the reasonable interpretation that a reader can make of it, and the evidentiary record. This comparison makes it possible to identify several situations: accurate but poorly explained assertion, ambiguous scope, obsolete information or insufficiently supported assertion. Not all of these situations warrant the same response.

Check the scope of the evidence

The DGCCRF presents the requirements for reliability and transparency of environmental claims. In particular, it highlights the need not to mask other significant impacts. This framework invites us to examine the scope of the assertion, and not just the existence of a supporting document. The legal qualification of a particular case must be established with the competent teams. [1]

For communications work, verification may include the method, time period, products included, and validity of the comparison. You also need to know if the document is accessible, understandable and still current. A result established for a reference does not automatically demonstrate the performance of an entire range. A certification relating to one aspect should not be presented as validation of all the company's commitments.

Respond to the specific objection

A general answer about the group's values can give the impression of avoiding the question. It is necessary to take up the object of the dispute and show the elements which allow it to be examined. If the wording was ambiguous, the clarification must be visible on the relevant media. If proof is lacking, the response must explain the decided action instead of stating a certainty that the company cannot demonstrate.

Tone also matters. A reasoned criticism, a misreading and a deliberately misleading accusation are not equivalent. The communications department must avoid too quickly labeling a dispute as manipulation. A proportionate response protects the possibility of dialogue and helps focus the discussion on verifiable facts.

Organize correction decisions

The work does not stop with the press release. It is necessary to identify the pages, commercial materials, language elements and documents which repeat the claim. The relevant officials must decide on the correction, its priority and how to inform the public about it. Modified media without explanation may leave questions lingering; a correction announcement without a real update creates a new gap.

We suggest keeping a journal of decisions: formulation examined, findings, measure adopted, responsible and status of implementation. This document is used to coordinate teams, not to create an appearance of mastery. It also makes it possible to distinguish the correction already applied from the investigation still in progress. The announced deadlines must correspond to what the organization is capable of verifying and executing.

Example: a promise that is too broad

In a fictitious example, a company uses a general expression to promote packaging in which only one component has been improved. The technical evidence may be accurate without justifying the overall impression. The useful response would be to clarify the enhancement, consider other relevant effects, and correct the scope of the expression. Simply repeating that the company has a technical file would not address the problem of understanding.

This situation should also lead to a review of the validation process. Who approved the final wording? Did the teams review the visual and title together? Have local adaptations expanded the promise? These questions make it possible to identify a weakness in governance beyond a particular medium.

Prepare a four-step response

Time Work to be done
Establish Find the allegation, context and supports
Examine Compare the possible interpretation to the evidentiary record
Decide Clarify, correct, suspend or continue the investigation
Report Explain the decision and monitor its implementation

A team can prepare this system before any controversy, based on its most exposed commitments. The review must include positive statements repeated for a long time: their age does not constitute proof of solidity. Supply conditions, methods and public expectations may change.

For Belief System, a credible response lies in the correspondence between observation and action. It makes the evidence accessible, recognizes the limitations of the wording where necessary, and shows the corrections actually made. Trust is rebuilt in this continuity between words and decisions.
