Starting from a decision that the committee must prepare
The scope of the audit depends on its purpose. An industrial establishment requires understanding territorial expectations. A change in shareholding calls for an examination of confidence in the strategy. An international launch requires distinguishing between the group's notoriety and its local legitimacy. A question that is too general, such as “what is our image?” ”, often produces a diagnosis that is difficult to use.
The framework note should therefore identify the decision, the audiences concerned, the markets, the period and the resources available. It also specifies what will not be studied. An audit carried out on public sources cannot conclude what all employees or all customers think. These limits are not methodological details: they determine the decisions that the result allows to be made.
Constitute a corpus whose limits can be explained
The corpus can bring together company communications, press articles, institutional documents, public contributions, interviews and authorized internal data. Each source is dated and classified according to its nature. A company statement does not constitute an independent validation of that statement; an isolated comment does not represent a population.
Sampling must be explicit. Which media, which languages, which keywords and which period were selected? How were duplicates handled? Were the interviews conducted with sufficiently different interlocutors? Transparency about these choices makes it possible to discuss the diagnosis and reproduce it.
Responses produced by AIs can form a separate component. It is then necessary to keep the questions, the system questioned, the date, the sources cited and the repetitions carried out. Answers may vary. They describe what the tools produce under test conditions, without measuring public opinion alone or a sustainable position across all drivers.
Separate presence, understanding, trust and behavior
A company with a strong media presence can remain misunderstood. An improvement in tone may coexist with persistent partner concern. The audit must avoid condensing these dimensions too quickly into a single score. The AMEC framework makes it possible to distinguish communication productions and the desired effects; this separation is useful for organizing questions of direction. [1]
Belief System proposes to examine four dimensions: what is visible, what is understood, what is believed and what influences a decision. For each, we identify the available evidence and the missing information. The quantitative results are accompanied by qualitative examples which help to understand what an indicator covers.
The use of AI to classify a corpus must also be explained. A reader-verified sample helps identify contextual errors, irony or confusion between organizations. The percentages produced from an uncertain classification do not become reliable by their decimal precision alone.
Annotated example: an industrial company is considering setting up
In this fictitious example, the committee wants to know what communication and dialogue conditions to prepare before announcing a project. The observations below are illustrative, without actual results or customer references. They show the expected form of an audit note.
| Illustrative observation | What it allows you to say | What it does not demonstrate | Proposed decision |
|---|---|---|---|
| The communication emphasizes employment, the questions received relate to water | There is a gap between the chosen angle and the documented issues | Not all residents oppose the project | Prepare an accessible technical explanation on water |
| The documents use several investment perimeters | Numbers can be difficult to compare | It has not been established that they are false | Produce a common definition and a dated version |
| Local media cite few company contacts | Access to a local explanation is worth examining | Increased media presence does not guarantee trust | Designate and prepare a local contact |
| An AI response uses old information | A documentary correction may be useful | Not all AI produces the same error | Refresh the source page and retest the same panel |
The interest of this matrix is to show the transition between observation and recommendation. The committee can challenge a hypothesis, request additional evidence, or arbitrate an action. He does not just receive a diagnosis presented as indisputable.
Deliver a file that the committee can actually use
A useful file can include a summary of decisions, a mapping of issues by audience, a register of assertions and their evidence, an analysis of contradictions and an action plan. The appendices bring together the corpus, definitions and limits. The summary must remain readable independently of the annexes, but each important recommendation must be able to be traced.
Priorities are prioritized according to their consequence, their probability when it can be assessed and the company's capacity for action. A very visible but not very decisive subject should not automatically precede a discreet problem which blocks authorization, cooperation or the understanding of the teams.
For each action selected, the file specifies the person responsible, the first deadline and the sign of progress. He distinguishes a communication action from an operational correction: if the promise is not kept, a better text alone does not solve the problem.
Provide comparable review and measurement
The restitution concludes with the decisions taken and the questions remaining open. A subsequent review reuses the same definitions while documenting changes in context. The number of documents analyzed, the timetable and the geographical scope are part of the mission framework; no standard volume alone guarantees the quality of an audit.
The reputation dashboard allows you to monitor the choices made. A communications strategy mission can then transform the diagnosis into an action program. The audit is successful when the committee knows better what it can say, what it must verify and what it must change. [1] [2]
