A credible spokesperson distinguishes between confirmed facts, assumptions and missing information. It explains what the organization does and how it will inform its audiences. Recognizing uncertainty does not mean giving up responding; this consists of providing information proportionate to what is actually established.

The pressure of maintenance sometimes pushes you to fill in the gaps. An estimate becomes a deadline, an intuition becomes a cause and an intention becomes a guarantee. Preparation must therefore focus as much on the limits of the statement as on the messages that we wish to make heard.

Prepare the scope of authority

The spokesperson must know what facts he can confirm and what decisions he is authorized to announce. This preparation depends on its function, the subject and the moment. Technical expertise does not automatically give authority to engage the entire organization.

Before the interview, the preparation sheet specifies the up-to-date facts, decisions made and questions that require verification. It identifies the people who can be contacted in the event of an additional request. An isolated spokesperson, without access to the right information, cannot compensate for this lack of organization through his oral ease alone.

Answer the question before expanding

A response benefits from explicitly acknowledging the point being made. She can then provide the relevant fact, specify a limit and explain what follows. Transitions are useful when they illuminate the subject; they become counterproductive when they systematically serve to return to a prepared message without addressing the question.

Journalists retain their freedom of questioning and treatment, as recalled in the charter of the International Federation of Journalists. Preparing for an interview therefore amounts to preparing for contradiction. This is not about seeking control over the conversation or the conclusion of the article. [1]

Say what is missing without leaving a void

“We have not yet established the cause” can be followed by measures taken to protect people, verify the facts and maintain information. This response distinguishes diagnosis from action. It avoids the impression that an organization must know the whole explanation before taking useful measures.

The CERC framework helps to think about this communication in uncertainty. In the business context, the information meeting is particularly important: it creates a manageable expectation. However, we must promise an update, not a result that depends on investigations that are still open. [1]

Scenario: a question about responsibilities

Let's imagine that a manager is questioned about the responsibility of a service provider in an incident. The investigations are not finished. A speculative response may publicly direct the accusation, complicate the relationship and then need to be corrected.

The manager can explain that responsibilities must be established, describe the checks in progress and recall the measures taken by his organization for the people concerned. He remains responsible for what he knows and what he does, without prematurely attributing fault. This illustrative answer does not erase the question: it deals with the available elements and the limits.

Practice raises

Useful practice includes interruptions, rephrasing, and repeated questions. He observes the moments when the spokesperson involuntarily broadens his remarks, uses an ambiguous term or abandons an essential reservation. Feedback should be about facts and understanding, not just posturing.

After speaking, the commitments made are recorded. Additional responses must be provided within the announced circuit. Credibility is built in this continuity: precise words during the interview, then an organization capable of following through.
